Job Opportunity: Coronado Schools Foundation: Project Coordinator


Position Overview: Provides administrative and operational support to the Chief Executive Officer (CEO) and Board of
Directors, as well as internal and external marketing coordination, and manages seasonal projects throughout the year.

Reports to: Chief Executive Officer (CEO)

Compensation: Position is four days per week, 32 hours, $14 to $16/hour, with occasional flexibility needed for special
events on evenings or weekends. Eligible for vacation and sick leave at a rate of 4/5 of fulltime staff per Personnel Manual and Federal/Coronado Unified School District (CUSD) staff holidays for days normally worked.

Hours of Operation: Foundation is located at 201 Sixth Street, Coronado, CA, open weekdays from 8 am to 4:30 pm.

Education and Experience: A minimum of two years experience, non-profit experience desirable:

• College degree preferred in marketing, business administration, communications, or related area.
• Strong writing skills including press releases, newsletters, website updating.
• Graphics design a plus.
• Social media, Twitter, Facebook lead for office team.
• Operations and administrative support experience running an office and interfacing with board members.
• Must be “tech savvy”, learning software applications readily and able to train others on applications.
• Strong computer skills a must including Microsoft Office Suite (Publisher a plus) and Outlook.
• Effective interpersonal and communication skills.
• Project management skills in order to manage multiple projects simultaneously.
• Ability to work congenially with volunteers, school staff, CSF staff and board members in a small office setting.

Qualifications:

• Detail oriented with respect to planning, analysis and record keeping.
• Excellent writing skills from press releases to drafting e-Newsletters and letters.
• Coordinating marketing plan execution between staff and printer, graphic designer and event staff.
• Strong organizational/project management skills in a fast-paced environment.
• Meet deadlines within established timelines.
• Self-motivated individual who can work towards agreed upon goals with minimal supervision while adhering to the
highest ethical standards.
• Excellent oral communication and writing skills.
• Understands budgets and working within an approved budget.

Responsibilities – Administrative:

• General office oversight, coordinating Coronado Unified School District (CUSD) technical tickets for phones,
computers, internet, printers and copy machine.
• Professional demeanor with guess, board of directors, sponsors, school and administrative officials and teachers;
• Manage CSF general email accounts.
• Facilitate CSF Executive Committee and Board of Directors meetings by sending out notifications, board packets
by e-mail, minutes and financial materials, and board roster.
• Maintain Corporate Book and files for board and each committee.
• Annually update all financial and bank signatories, per staff and board changes.
• Logs in donations/event reservations online and USPS mail – log and record per Internal Controls Manual
procedures.
• Coordinate operational-related projects including ordering office supplies, decals, signage, and event or
fundraising campaign-related materials.
• Coordinate CSF banners and signage placement with City of Coronado, CoSA at CHS, and other locations.
• Makes draft changes annually to Internal Controls Manual in coordination with CEO and CFOO (Chief Financial &
Operations Officer) for review by senior staff and board, if applicable.
• Publish, maintain and update CSF’s master calendar and coordinate use of CSF meeting rooms.
• Coordinate CSF’s annual Board Retreat and Strategic Planning Meetings, if applicable.
• Responsible for CSF storage area of for office supplies and Summer Enrichment materials.
• Ensures the office has adequate supplies of necessary forms, including check request,leave request forms, out of
office door signs, , etc.
• Answer phones and change voice mail messages as needed.
• Greet and assist visitors as needed.
• Order office supplies and maintains inventories.

Responsibilities – Marketing

• Annual Marketing Plan – Oversee execution of annual plan as designed by Director of Development (DD),
interfacing with external partners, including printers, volunteers and staff and board members.
• Website – Responsible with DD to take lead on weekly updates to website, uploading new updates, alumni
spotlights, and updating information on website.
• Social Media updates – Manage e-Newsletters, Facebook, eCoronado, Patch.com, Twitter and other social media
outlets.
• Manage printing and bulk mailing requirements with post office and printer.
• Interface with printer and graphic designer for all marketing materials, event and annual campaigns, and relaying
this information to appropriate staff.
• Newsletter/Foundation Focus – Work with CEO and DD on newsletters.
Responsibilities – Project Based:
• All Schools Directory
• Coordinate administration of All Schools Directory between parent-teacher groups and
CSF staff, business partners, and community groups. Assist Business Partner & Events Coordinator and DD with
processing paperwork for and finalizing Business Partners in Education/Directory program.
Business Partner in Education Program
• Work with CSF Staff to update and create new marketing materials
annually, ensure procedures are in place to track all partners, event donations, to ensure appropriate
acknowledgement is given to donors.
Summer Enrichment
• Work with CEO and Summer Enrichment Principal to load Summer Enrichment program
website, course materials and marketing elements, to successfully launch and execute program. Will serve as
Registrar on site during three-week program.
Scholarships
• Administer annual Coronado High Scholarships facilitated through CSF by working closely with
CEO and CHS Awards Facilitator and acting as lead contacting all donors and collecting annual awards.
Event Materials for Connect-A-Thon in spring and Auctions in fall.
Annual Campaigns
• Other duties as assigned. Facilitates design and printing between Marketing Team, printer, office staff and CUSD
Performance Criteria: Measured by administrative, marketing, and project based capabilities, quantity, quality and of
work, and coordination of assignments between departments.
