CSF is Hiring – Project Coordinator Needed

CSF_Logo_Vertical_2ColorMission of the Foundation:  Through community involvement and support, Coronado Schools Foundation raises and manages funds to provide exceptional learning experiences for all Coronado Unified School District students.

Position Overview:  Provides internal and external marketing and project coordination as well as support to the Chief Executive Officer (CEO) and Board of Directors.

Reports to:  Chief Executive Officer (CEO)

Compensation:  Position is 32 hours per week minimum, non-exempt $16-$20/hour, with occasional flexibility needed for meetings or events on evenings or weekends. Eligible for vacation and sick leave as well as health benefits per CSF Personnel Manual and Coronado Unified School District (CUSD) staff holidays for days normally worked.

Hours of Operation:  Foundation is located at 201 Sixth Street, Coronado, CA, open weekdays from 8 am to 4:30 pm.

Education and Experience:  A minimum of two years’ experience, nonprofit experience desirable:

  • College degree preferred in marketing, business administration, communications, or related area.
  • Strong writing skills including press releases, newsletters, website updating.
  • Graphics design experience preferred.
  • Website updates.
  • Social media, Twitter, Facebook lead for office team.
  • Operations and administrative support experience running an office and interfacing with board members.
  • Must be “tech savvy”, learning software applications readily and able to train others on applications.
  • Strong computer skills a must including Microsoft Office Suite (Publisher a plus) and Outlook.
  • Effective interpersonal and communication skills.
  • Project management skills in order to manage multiple projects simultaneously.
  • Ability to work congenially with volunteers, school staff, CSF staff and board members in a small office setting.

Qualifications:

  • Strong organizational/project management skills in a fast-paced environment.
  • Detail oriented with respect to planning, analysis and record keeping.
  • Excellent writing skills from press releases to drafting e-Newsletters and acknowledgement letters.
  • Coordinating annual Marketing Plan execution between staff and external printer and marketing team.
  • Meets deadlines within established timelines.
  • Self-motivated team player who can work toward goals with minimal supervision while adhering to the highest ethical standards.
  • Excellent communication skills.
  • Understands budgets and working within approved budgets.
  • Respects confidentiality of information regarding donors.

Responsibilities – Administrative:

  • Coordinating CUSD technical tickets for computers, phones, and printers.
  • Professional demeanor with donors, board of directors, sponsors, and school administrative officials and teachers.
  • Manage CSF general email accounts.
  • Facilitate CSF Executive Committee and Board of Directors meetings by sending out notifications, board packets by e-mail, minutes and financial materials, and board roster.
  • Maintain Corporate Book and files for board and each committee.
  • Maintain operational files in regard to Summer Enrichment Program.
  • Make draft changes annually to Internal Controls Manual in coordination with CEO for review by senior staff and board, if applicable.
  • Publish, maintain, and update CSF’s master calendar and coordinate use of CSF meeting rooms.
  • Answer phones and change voice mail messages as needed.
  • Other duties as assigned.

Responsibilities – Marketing

  • Annual Marketing Plan – Oversee execution of annual plan as designed by Director of Development (DD), interfacing with external partners, including printers, volunteers, staff, and board members.
  • Website – Responsible to take lead on weekly updates to website, uploading new updates and information on website.
  • Events – Lead on coordinating all aspects of marketing plans for CSF events and campaigns.
  • Social Media updates – Manage e-Newsletters, Facebook, eCoronado, Twitter, and other social media outlets.
  • Obtains quotes and manage printing and bulk mailing requirements with post office and printer.
  • Interface with printer and graphic designer for all marketing materials, event and annual campaigns, and relaying this information to appropriate staff.
  • Newsletter/Foundation Focus – Takes lead on print and virtual newsletters and maps out content for team.
  • Summer Enrichment – uploads website and acts as lead for this program, conducted in June or July.

Responsibilities – Project Based:

  • Virtual All Schools Directory – Coordinate administration of virtual All Schools Directory between parent-teacher groups and CSF staff; will upload business partners to school directory sites and manage on a rotating basis. Arranges meeting in May annually with PTO presidents and directory lead.
  • Business Partner in Education Program – Work with CSF Staff to update and create new marketing materials annually, ensures procedures are in place to track all partners and event donations.
  • Summer Enrichment – Works directly with Summer Enrichment Principal, with oversight from CEO, to design program and budget, load Summer Enrichment program website, course materials and marketing elements, to successfully launch and execute program. Trains Registrar for summer program. .
  • Scholarships – Administers annual Coronado High Scholarships facilitated through CSF by working closely with CEO and CHS Awards Chair and acting as lead contacting all donors and collecting annual awards.
  • Auction – Manage Online Auction including pre-auction marketing, social media, and manages event registration.
  • Telethon – Manages database for phone bank and coordinates all pre-event marketing, publicity, and school promotions.
  • Event Materials – Works within approved annual Marketing Plan, includes, Telethon, Auction, Summer Enrichment, and donor appreciation events.
  • Annual Campaigns – Facilitates design and printing between marketing team, printer, office staff, and CUSD
  • Other duties as assigned.

Performance Criteria: Measured by administrative, marketing, and project based capabilities, quantity, quality and of work, and coordination of assignments between departments.
